Production Pipeline Set-up Struggle

It has recently come to our attention that we need to set up our file structure and lay out our pipeline so that we can recruit "freelancers" from our class who would like to work on our short with us. Our goal is to make it as simple and painless as possible for different people to come on and work with different assets without any confusion (or at least with minimal confusion).

However, we aren't experts in the best way to set this up so that people outside of the group understand how it works. After doing a lot of research into it, we are a little more lost than we were before! So I contacted one of the professors at our school who has worked with previous senior classes and had a direct hand in helping them stay organized. He agreed to meet with us this next week and help us figure out how we want to set up our pipeline.
